Sub:    Annual maintenance contract for  Riso Digital duplicator/printer Model RN2030

 

Sir,

 

          I am directed to say that the Department of Heavy Industry invites sealed quotations for awarding  comprehensive/Non- comprehensive   maintenance contract for the Riso Digital Duplicator/Printer purchased on  6-5-2003 for three years or on  year to year basis.

 

2.        You are requested to send your quotation for both options 3 years/one year  both comprehensive and Non-comprehensive in the sealed cover alongwith EMD of Rs.2,500/- in the form of Pay Order/FDR  in the name of DDO, DHI, New Delhi to the Deputy Secretary, (GA), Department of Heavy Industry   Room No.61, Udyog Bhavan, New Delhi-110011  latest by  3.00 PM  on 27-10-2005 and the same will be opened at  4.00 PM on 28-10-2005.  Late quotations  would be summarily rejected.  The Department reserves the right to accept or reject any quotation without assigning any reasons therefore. The Terms & Conditions will be as under:-

 

a)     The quotations should be in two parts-Technical and Financial (in separate sealed covers). The bidder should submit his previous experience and references of satisfactory work performance  from customers including at least two Govt. Deptts./PSUs. Financial bids will be opened only in those cases where the technical bids would be found acceptable. The financial bid should be for two options – one for total of 3 years contract and other for year to year basis with comprehensive and non-comprehensive. The taxes may be mentioned  separately in the bid.

 

b)    In case of  comprehensive contract,  the contractor will be required to replace all defective parts free of charge. The contractor would ensure that all the parts being replaced are new and genuine and are of the same brand,  name/quality.

 

c)    All the complaints should be attended to within three hours and faults rectified from the time of the complaint. In case the machine is required to be taken to the workshop for any major repair, the machine would be taken with permission, repaired and returned to the users in the Department within 24 hours from the time of the complaint. If there is any failure on the part of the contractor, he would be liable to penal charges @ Rs.10/- per hour on the first day and Rs.50/- per hour on the second day which would be obtained from the users based on which his quarterly contract payment would be released.

 

d)    The awardee of the contract will have to deposit   Rs.10,000/- in advance by way of pay order/FDR in favour of DDO,DHI for due and satisfactory execution  of the contract as security deposit.

 

e)     The payment will be made on Quarterly basis after the receipt of the satisfactory work from the user Section.
